PREPARE YOUR INQUIRY

Put the key
details together.

You can start with the information you have. Mark anything that is provisional so it can be discussed explicitly.

  1. Identify the part

Use a clear part name or number. Describe the application, attach the current drawing where available and include the revision and measurement units.

  2. Explain the requirements

List the material, quantity and relevant dimensions. Highlight critical features, surface finish, inspection or documentation requirements.

  3. Set out the schedule

Give your requested delivery date and destination. Explain whether timing is fixed or flexible and whether the quantity is confirmed or an estimate.

  4. Resolve open questions

Discuss missing information, suitability and any required changes. Confirm the scope, price and timing with the team before placing an order.

BEFORE MOVING AHEAD

A shared understanding
of the work.

The same drawing

Check that the part number and revision used in the quotation match the version you intend to order.

The agreed scope

Confirm material, quantity, finish, documentation and any explicitly agreed exceptions or alternatives.

The commercial details

Review the quoted price, applicable terms and any items excluded from the scope.

The delivery arrangement

Confirm timing, destination and any packaging or shipping requirements relevant to your order.
